Please read these terms carefully before using Photo Salon

1. Acceptance of Terms

By accessing and using Photo Salon ("the Service"), you accept and agree to be bound by the terms and provision of this agreement. If you do not agree to these terms, please do not use the Service.

2. Free Tier

Photo Salon offers a free tier to all photography clubs and organizations ("Clubs"). The free tier includes:

  • £1/year of S3 storage included - approximately 3.6 GB of storage (based on AWS S3 pricing)
  • Unlimited club members
  • Unlimited competitions
  • All core features including judging, scoring, live voting, and results

As long as your club's annual S3 storage costs remain at or below £1/year, you can use Photo Salon completely free of charge. Storage usage is calculated based on the total size of all images stored for your competitions.

3. Paid Subscriptions

If your Club's annual S3 storage costs exceed £1/year, you will need to subscribe to a paid plan to continue using Photo Salon. The system will automatically detect when you exceed the free tier limit when you attempt to create a new competition.

Pricing Model

Our pricing is transparent and usage-based, calculated automatically based on your actual storage usage and rounded to the nearest £10/year:

  • £10/year: Approximately 30-35 GB of storage
  • £20/year: Approximately 60-70 GB of storage
  • £30/year: Approximately 90-105 GB of storage
  • Each additional £10/year provides approximately 30-35 GB more storage

Subscription Terms

  • Billing: Annual subscriptions, charged upfront for the full year
  • Automatic Renewal: Subscriptions automatically renew annually unless cancelled
  • Price Changes: If your storage usage changes, your subscription price will be updated automatically for the next billing period
  • No Refunds: We do not provide refunds for subscription periods. If you cancel, your subscription remains active until the end of the current period
  • Payment: Processed securely through Stripe. We accept major credit and debit cards

Reducing Storage and Costs

You can reduce your subscription cost or return to the free tier by archiving old competitions:

  • Archiving Competitions: Club Admins and Competition Secretaries can archive competitions, which removes them from storage cost calculations
  • Archived competitions are hidden from regular club members
  • Automatic Price Updates: When you archive competitions, your subscription price is automatically recalculated
  • Suggestions: The subscription management page provides suggestions on which competitions to archive based on age and size

Cancellation

You may cancel your subscription at any time through the subscription management page. Cancellation takes effect at the end of your current billing period. No refunds are provided for the remaining period, but you will retain access until the period ends.

4. User Responsibilities

As a user of Photo Salon, you agree to:

  • Provide accurate and complete information when creating your account
  • Maintain the security of your account credentials
  • Use the Service only for lawful purposes
  • Respect the intellectual property rights of others
  • Not upload content that is illegal, harmful, or violates any applicable laws
  • Not attempt to gain unauthorized access to the Service or its related systems

5. Content and Intellectual Property

You retain all rights to the content you upload to Photo Salon, including competition entries, images, and other materials. By uploading content, you grant Photo Salon a limited license to store, process, and display that content as necessary to provide the Service.

The Photo Salon platform, including its design, functionality, and underlying code, remains the property of Photo Salon and is protected by copyright and other intellectual property laws.

6. Service Availability

We strive to maintain high availability of the Service, but we do not guarantee uninterrupted or error-free operation. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.

We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice.

7. Limitation of Liability

Photo Salon is provided "as is" without warranties of any kind, either express or implied. We shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the Service.

8. Termination

We reserve the right to terminate or suspend your account and access to the Service at our sole discretion, without prior notice, for conduct that we believe violates these Terms of Use or is harmful to other users, us, or third parties.

You may terminate your account at any time by contacting us or using the account deletion features available in the Service.

9. Changes to Terms

We reserve the right to modify these Terms of Use at any time. We will notify users of any material changes via email or through the Service. Your continued use of the Service after such modifications constitutes acceptance of the updated terms.
